PROFESSIONAL REQUIREMENTS:
A. High school diploma required
B. Proficient in typing skills with accuracy and a minimum of 40 w.p.m.
C. Skilled in the operation of standard office machinery.
D. Knowledge of and proficiency in handling general office work
E. Proficiency in basic language and math skills

REQUIRED SKILLS: 

A. Possess computer operator skills including word processing, spread sheets, and working with a database
B. Ability to establish and maintain effective working relationships with staff
C. Good communication and customer service skills and the ability to promote a positive image of the Special Education Department and CUSD #187
D. Ability to maintain confidentiality
E. Good organizational skills and the ability to set priorities and meet deadlines

REPORTS TO:
The Special Education Secretary is directly responsible to the Director of Special Education or designee

SUPERVISES:
N/A

PERFORMANCE RESPONSIBILITIES:
A. Evaluation Process

     1. Under direction of Director of designee, send, track, and collect referral packets and rating scales
     2. Make copies of documents necessary to create Special Education student files and teacher files
     3. Copy and distribute master list monthly
     4. Assist in the scheduling of EIEP meetings

B. Student Files

     1. Request any medical records needed by related service personnel
     2. Under direction of Director or designee, follow up on records requested but not received
     3. Maintain all active and inactive files
     4. Copy and send documents for records requests received
     5. Filing — Weekly
     6. Assist with registration as needed
     7. Assist with collection of files for records destruction
     8. Teacher file collection
          a. Assist with collection and organization of all teacher files at the end of the school year
          b. Assist with organization of teacher files prior to start of the new year according to new rosters
          c. Assist with distribution of teacher files at start of new year

C. IEPs and Progress Reports

     1. Receive and check in quarterly progress reports from all teachers
     2. File all progress reports into student files after administrative review
     3. Assist with entry of IEPs (IStar and Skyward) as requested

D. IEP Notification of Conference Forms

     1. Receive all notice of conference forms for all IEP, Eligibility, MDR, etc. meetings throughout the year
     2. Copy and distribute the forms to all invited parties

E. SSI / Other Information Requests

     1. Copy questionnaires completed by staff
     2. Copy MDC, IEP, and other requested information from the student file
     3. Compile packet for submission to SSI
     4. Maintain file of all information sent to SSI
     5. For requests other than SSI (ie rating scale from a doctor’s office), copy forms completed by staff
     6. Compile information for response

F. Special Education Department Clerical Support
    1. Sort and distribute all mail daily
    2. Type letters / memos as requested
    3. Send correspondence as requested
    4. Maintain and update sign-out board for all staff

    5. File documentation into student files
    6. Phone calls as requested
    7. Copying as requested
    8. Creating binders, materials for professional development, etc.) as requested
    9. Assist with registration of students as needed
    10. Assist with the distribution of materials to classrooms / teachers
     11. Assist with processing of supplies as needed

G. Assist with organizing and maintaining supplies

H. Assist with maintenance of Department documentation (TOV, CPDU, Meetings, CPI, WalMart PO)
